Materials on site, approvals on the phone, and the progress bill comes out by itself
A contracting company loses money between the site and the office: materials handed over without a document, approvals on WhatsApp, and progress bills computed from scratch every time. ATLAS moves the document from the supervisor on site to the entry in the ledger.
The problems that repeat on every project
Materials leave for the site and nobody knows what they were used for
Steel, cement and gypsum are handed over on a slip or a phone call. At the end of the project the gap between what left and what was installed is a big number nobody can explain.
"OK, pay it" in a WhatsApp message
The purchase order was made by phone and the payment approved in a group. When accounting comes to review: who approved? For how much? When?
Progress bills and retentions by hand
The advance is deducted by a rate, the retention is 10%, and what was collected before — every bill is computed from scratch in Excel, and the mistake shows up months later.
Supervisor custody without settlement
The supervisor takes cash custody for petty expenses and day labour, invoices pile up in the drawer, and the settlement is postponed.
The same day, with one document that moves by itself
Before
- Material requests by call or message
- Approval in a WhatsApp group
- Materials handed over without custody
- Site report as photos in the group
- Progress bill in Excel
- The accountant re-enters everything
After
- The supervisor requests from the phone with a photo from site
- An e-signature approval chain: who signs first and who next
- The store issue records custody on the site
- A daily photo report in the project file
- The bill computes advance and retention itself and issues a tax invoice
- The entry posts the moment it is approved
The modules a contracting company lives in
Clients and progress bills
Client → client PO → project and site → delivery notes → progress bill. Advance and retentions computed, retention release when due, credit note for cancellation, and a tax invoice with QR. Aging: who is late and by how much.
Details →Inventory and site custody
Every issue to a site becomes custody: what was consumed, returned or damaged. Progress is measured by what was delivered against the target, and material cost becomes an entry on the project's cost centre automatically.
Details →E-signature approvals
Purchase orders, payment requests and manual entries on approval chains. Everyone signs from the phone, and the signature, name and date appear on the printed document.
Details →Custody and vouchers
Supervisor custody linked to the payment voucher, settlement with invoices on an approval chain, and the difference returned or posted. No open custody that nobody sees.
Details →Site reports with photos
A daily report from every site with photos and progress percentage; the manager comments from wherever they are. The daily management report: all sites on one page.
Details →Project profitability
Each project's revenue against its material cost and expenses, with nobody totalling by hand. And the income statement at company level.
Details →Frequently asked
Our supervisor only has a phone and does not like systems — will it work?
The supervisor's screen is simple: request materials, photograph the site report, sign what is waiting. No accounting screens in front of them. Training is part of setup.
We have several sites at the same time?
Every project has its sites, and every site has its custody and reports. The daily report gathers all sites on one page for management.
Does the progress bill come out in the format the big client wants?
The bill is issued on your letterhead with the tax invoice and QR code. If the client has a specific template, it is set up during onboarding.
